How Fixflo’s Contractor Marketplace powered by Help me Fix helps save agencies money

Help me Fix and Fixflo

Streamline Property Management with Contractor Marketplace

Repetitive admin, spreadsheets, and midnight emergencies – all of this can be controlled with Contractor Marketplace. Featuring video triage and maintenance powered by an integration between Fixflo and Help me Fix, Fixflo’s market-leading software solution helps property managers handle repair reports, emergencies, and planned preventative maintenance tasks.

Once integrated, when a repair is reported through Fixflo that could be serviced using Help me Fix, the issue is automatically instructed to it. Help me Fix triages the repair, and a tradesperson virtually carries out the fix for the tenant. If the Help me Fix contractor deems the issue an emergency, an in-person contractor is needed for a full fix, and Fixflo will assign the job to one to arrange a suitable visit date.

If further work is required but an in-person contractor is needed for a full fix

Not only does the Contractor Marketplace save time, but it also saves agencies money.

Video triage

Learning that maintenance issues can be diagnosed or even resolved remotely should immediately indicate the cost savings. Eliminating call-out charges removes the extra spending.

Before Contractor Marketplace, under-resourced property managers could struggle to meet the demand for contractors. However, with Fixflo, this process becomes much easier, as property managers can automate out-of-hours emergency solutions using its Co-pilot feature.

Help me Fix’s video assessments are a good way to minimise technician site visits and thus reduce costs for both the agency and landlords.

For example:

  • If the occupier’s boiler is not working, the Help me Fix engineer will explain how to repressurise it and solve the problem. The issue is marked as done in Fixflo.
  • If the issue is temporarily resolved but a new part is needed, as an example, the engineer will write a report for Fixflo. This will create a new issue within the software with the original and triaging information added by Help me Fix.
  • However, if the issue is not resolved and immediate action is required, the engineer creates a new issue and sets it to an emergency. If the Co-pilot rule is set up to instruct emergencies to an out-of-hours network or contractor, this rule will run. For example, if the boiler has died in the middle of winter and the engineer cannot resolve the problem via a video call.

Location Location, a London-based lettings agency, had been with Fixflo for several years before embracing Contractor Marketplace in July 2023. Operations Director Megan Eighteen described agents as often being time-poor.

“Costs for landlords are going up and up and up,” she said. “Trying to keep things cost-effective for a landlord while saving agents’ time doesn’t usually go hand in hand. But the way video triage works, it’s a natural combination of the two.”

Megan added: “Landlords are paying a lot less to get the exceptionally good outcomes we have with video maintenance—like, scarily good.”

In the first six weeks after implementation, Location Location had managed to save landlords £2,000 and their agents two days of property management time.

One system

Help me Fix operates as an integration with Fixflo, meaning it all works in one place without switching between different forms and websites.

Birmingham-based residential property specialist Centrick has used Fixflo since 2018. Group Projects Director Chris Whiley said: “Reducing duplications of work is imperative. If you’ve got 30 different systems you’re dipping in and out of, it’s very time-consuming.”

He explained that Fixflo and Help me Fix saved the team significant time while keeping all maintenance data and communications flowing through an existing centralised hub.

Automation

Fixflo’s Co-pilot feature acts as a user’s automated works assistant. It can create rules that trigger actions based on various filters, such as fault type, time fault was reported, and fault location. It can instruct works to a contractor or send an alert to any email address, for example.

With the help of Fixflo’s Co-pilot rules, Centrick optimised their resource allocations, which meant a larger return on investment.

South England estate agency Haslams integrates Help me Fix with Fixflo and has reaped the benefits since 2019. As a result of the automation within the repairs and maintenance solution, of the 80 calls Haslams received during the 2021 Christmas period, including the times the office was shut, only three required contractors to be dispatched. This saved their landlords around £7,500 in unnecessary callout fees.
